Q: What are best practices for an Auto Attendant or IVR recording?
A:
- Keep it as brief and simple as possible. If the script is too long the callers won’t remember the options. The main Auto Attendant greeting should be within 15 seconds to avoid complaints from callers.
- Don’t use “Please listen to the following options because they may have changed.”. This is an unnecessary sentence.
- Avoid using the word “press” before every option. A better and shorter way to state this is “Press 1 for Sales, 2 for Support, 3 for Accounting. For all other inquiries press 0 and a staff member will be happy to assist you.”.
- If you get a lot of hours and address questions, make a recording for that and make it a choice in your main Auto Attendant or IVR menu.
Q: What are best practices for a voicemail recording?

- Keep it as brief and simple as possible.
- Is there a separate voicemail for Business Hours than there is for After Hours? If there is you either need two recordings or one combined recording. Examples are below:
Open hours voicemail: You’ve reached the voicemail for XXXXXXXXXX. Our staff is busy helping other callers. We’re here to serve you Monday through Friday 9am to 5pm. Please call back later or leave a voicemail message. We look forward to serving you. You may leave your message now.
Closed hours voicemail: You’ve reached the voicemail for XXXXXXXXXX. We are currently closed. We’re here to serve you Monday through Friday 9am to 5pm. Please call back during that time or leave a voicemail message. We look forward to serving you. You may leave your message now.
Combined Open/Closed hours voicemail: You’ve reached the voicemail for XXXXXXXXXX.
